Capture Anything, Instantly

The best task manager is the one that doesn't slow you down when an idea hits.

• Quick Entry — a global keyboard shortcut opens a floating window from any app. Type, hit Return, done.
• Multi-entry — press Shift+Return to add another task without closing the window. Brain dump mode.
• Voice input — tap the mic and speak. Dictation is transcribed either on-device by Apple's Speech framework or by our voice processing provider Respeecher. Works in both the command bar and Quick Entry, and supports multiple languages.
• Smart parsing — the title field understands ! flag, #tag, ::project, @person, ~30m estimates, dates like "tomorrow" or "friday", and repeats like "every monday". Matched parts move into real fields and leave the title clean. Works in English and Ukrainian. Date extraction is deliberately conservative — a bare date is only taken from the end of the title, so "Call Anna about the March 3 invoice" doesn't silently become due March 3.
• Task URL — attach an external URL to any task for reference material — articles, docs, tickets, whatever you need
• Share Extension — share from any app (Safari, Mail, Notes) and create a task instantly. The shared text, URL, or email becomes a task flagged for AI enrichment.
• Inline attachments — paste images and files directly into task notes. They render inline, just like you'd expect.

Location-Aware Tasks

Some tasks only make sense in certain places. AgenToDo knows that.

Places

Save the places that matter — home, office, gym, that grocery store you always forget things at. Each Place gets its own icon and color.

Arrive & Depart Reminders

"When I get to the office, remind me to submit expenses." AgenToDo uses geofencing to nudge you at the right moment — arriving or leaving.

Smart Suggestions

Visit the same coffee shop enough times and AgenToDo notices. It'll suggest saving it as a Place — and if you keep doing the same task there, it'll suggest automating it. You always decide.

Privacy First

Location features are opt-in. A transparency dashboard shows exactly what AgenToDo knows about your movements. Export or delete everything anytime.

Meetings → Tasks

Meetings produce action items. AgenToDo catches them so you don't have to.

Connect Read.ai and AgenToDo automatically pulls action items from your meeting transcripts. Review what it found, edit if needed, approve — and they become real tasks in your system. Same preview-before-action approach as everything else.

Calendar Integration

AgenToDo reads your system calendars and puts events alongside your tasks — everywhere it matters.

• Week view — see your whole week with tasks and meetings together. Drag a task onto a time slot to block time for it.
• Day view — hour-by-hour timeline, perfect for planning a packed day
• Month view — high-level overview with per-day load indicators
• Commitment meter — shows when you've planned more than you can realistically do
• Drag-to-create — drag on the hour grid to create a time-blocked task directly. No detours.
• Honest blocks — tasks without an estimate draw as a dashed 30-minute placeholder. Set an estimate and the block draws solid at its real length.
• Calendar Sets — choose which calendars to display. Work mode? Personal mode? You decide. Sets are saved per device by design — they're a view filter over the calendars that device can see.
• Working Hours — define your available time so AI scheduling respects your boundaries
• Live refresh — changes in Apple Calendar appear instantly. No manual sync, no waiting.

Projects, Tags & Folders

Projects

Group related tasks together. Choose how they flow:

• Sequential — tasks appear one at a time. Finish one, the next shows up. Great for step-by-step work.
• Parallel — all tasks visible at once. Tackle in any order.
• Single-actions — a loose collection of unrelated to-dos. No sequence, no end date.
• Progress ring — each project shows a visual progress ring in the sidebar so you can see completion at a glance

Tags

Tag anything. Tags can nest: #work → #work/deep-focus → #work/deep-focus/writing. Filter by any level.

Folders

Group your projects into folders for big-picture organization. Folders can nest too.

Repeating Tasks

Tasks and projects that come back on schedule. Set a repeat rule and AgenToDo handles the rest.

• Frequency options — daily, weekdays, weekly, biweekly, monthly, quarterly, yearly
• Two modes — Fixed Date (repeats from the original date) and After Completion (repeats N days after you finish)
• End conditions — stop by a specific date or after N occurrences
• Natural language — type "every monday" or "repeat weekly" and AgenToDo parses it
• Repeating projects — clone themselves when completed. Structure intact, tasks fresh.

Bulk Actions

Select multiple tasks and act on them at once. A floating action bar appears when you multi-select — no menus, no hunting.

• Set due dates — Today, Tomorrow, Next Week, or pick your own
• Move to a project — drag a dozen tasks into a project in one go
• Convert kind — turn tasks into ideas or notes (and back)
• Assign details — estimates, people, locations — all in bulk

Spotlight & Search

Every task, project, and tag is indexed in macOS Spotlight. Type a task title in Spotlight, click the result, and AgenToDo opens directly to it. No hunting, no switching apps first.

Siri & Shortcuts

"Hey Siri, what's flagged today?" AgenToDo integrates with Siri and Apple Shortcuts, so you can check in by voice or build your own automations.

Undo & Redo

Full undo/redo (⌘Z / ⌘⇧Z) for every action. Complete a task by accident? One keystroke to reverse it. Works across all operations — including AI-suggested changes. No action is permanent until you want it to be.

Task History

Every task tracks when it was created, completed, and last modified — right in the detail view. No guessing when you finished something or when it first showed up.

Database Maintenance

Big databases collect clutter — old event logs, finished agent runs, orphaned attachments, checklist items whose parent is long gone. File → Database Maintenance shows the counts and offers scoped cleanups, with orphaned items listed explicitly and per-row Restore or Delete. Cleanup thresholds are configurable. Back up first, sweep second.

Streaks

Complete at least one task a day and build a streak. A gentle nudge to keep moving — not a guilt trip when you miss.

Privacy

• Your tasks stay on your devices — synced through iCloud, never stored on MacPaw servers
• AI is transparent — when you use AI, only the context for that request is processed. Without AI, nothing leaves your device.
• Location data is yours — full dashboard shows what the app knows. Delete everything anytime.
• Encrypted backups — database backups support optional password encryption, so your data stays locked down even off-device
• No tracking, no profiling — we don't know who you are and we like it that way

Mac

AgenToDo runs natively on macOS. Not a web wrapper — a real app, built for Apple from the ground up. Everything syncs through iCloud, always up to date on every device.

Requires macOS 26 (Tahoe) or later on Apple silicon. There is no Windows, Android, or web version.
