Sharing & Collaboration

Share projects through iCloud. No accounts to create, no services to sign up for — just invite someone and start working together.

How Sharing Works

Click Share on any project. Pick people from your People list, from a group, or type an email. Choose Can edit or View only. That's it.

Your collaborator sees the same tasks, the same structure, updated in real time. No third-party accounts. No sign-up flows. Just Apple ID — the one they already have.

Open AgenToDo, and shared projects are already there, already current.

Two things worth knowing: people without an email address aren't reachable — the share sheet shows how many of your picks are ready and offers to fill in missing emails or skip those people. And sub-projects aren't shared automatically — share them separately if you want them included.

Activity Feed

See what changed and who changed it.

When a collaborator completes a task, adds one, or modifies something — it shows in the activity feed. You stay aware without asking, without checking in, without wondering.

People & Delegation

Assign a task to someone. Their name appears on it. Done.

People are enriched from your Contacts — real names, real faces. Use @mention in a task title for quick assignment. Each person has a detail view showing every task assigned to them, across all projects.

Combined with the Waiting On perspective, you always know who owes you what.

If someone you'd @mentioned locally later joins a share, you can end up with two records for the same person. AgenToDo notices the name match and offers to merge them — or merge manually from the People sidebar anytime.

People Groups

Organize your contacts into groups — like "Family," "Design Team," or "Book Club." When sharing a project, you can select an entire group at once instead of adding people one by one. Create groups in Settings → People, and they're available everywhere you share.

Collaboration Views

Two perspectives built for collaboration:

  • 🙋 Assigned to Me — Everything others have put on your plate. This is a dedicated perspective that shows all tasks assigned to you across every shared project — so you always know what others need from you, without opening each project individually.
  • ⏳ Waiting On — Everything you've delegated. The gentle accountability view.

The 🔁 Changed perspective rounds this out: recently modified items across devices and collaborators, so you can see what moved on a shared project while you were away.

Privacy

Everything syncs through iCloud. Not through MacPaw servers. Not through a third-party cloud.

Apple handles the encryption and sync. You control who has access. You can revoke it anytime. Your tasks stay between you and the people you choose to share them with.
